Appointment & Cancellation Policy

This Appointment and Cancellation Policy applies to all consultations, procedures, and follow-up visits at Skinssence Laser & Skincare Clinic, 4 C 15, Sector 4, Talwandi, Kota, Rajasthan 324005. By booking an appointment — in person, by phone, or via WhatsApp — you confirm that you have read and agree to this policy. This policy forms part of our Terms and Conditions.
Please Read Before Booking Appointment slots at Skinssence are limited — each consultation is allocated dedicated time for a proper clinical assessment. Missed appointments and last-minute cancellations prevent other patients from accessing care. We ask that you treat your appointment time with the same respect you would expect us to treat yours.

1. How to Book an Appointment

Appointments at Skinssence Laser & Skincare Clinic can be booked through the following channels:

  • WhatsApp: +91 9509197578 — send your name, preferred date and time, and a brief description of your concern
  • Phone call: +91 9509197578 — during clinic hours
  • In person: At the clinic reception during operating hours

Appointments are confirmed only after acknowledgment from the clinic. An unacknowledged message or missed call does not constitute a confirmed booking.

2. Booking Confirmation and Advance Payment

To secure your appointment slot, an advance payment of ₹100 via UPI is required at the time of booking. This amount is deducted from your total consultation fee on the day of your visit.

  • Share your UPI payment screenshot, your name, and your concern description via WhatsApp to +91 9509197578
  • An acknowledgment confirming your appointment date and time will be sent in response
  • The remaining consultation fee is payable at the clinic on the day of your appointment
  • Appointments are non-transferable — the slot is reserved for the individual who booked it and may not be transferred to another person

Having a prior appointment does not guarantee a fixed time slot within a session — it gives you priority access over walk-in patients. Dr. Ashima Madan sees each patient for as long as clinically necessary, and session timing may vary accordingly. We appreciate your patience.

4. Cancellation and Rescheduling Policy

If you need to cancel or reschedule your appointment, please inform us as early as possible. The following terms apply:

How to cancel or reschedule: Contact us via WhatsApp or phone at +91 9509197578 as early as possible. Please do not use social media comments, Instagram DMs, or Google Business messages to cancel appointments — these are not monitored in real time and your cancellation may not be registered in time.

5. Late Arrivals

If you arrive late for your appointment, we will do our best to accommodate you within the remaining time of your slot. However:

  • If you arrive significantly late, your consultation may be shortened to avoid delays for other patients
  • In some cases, a late arrival may require rescheduling to a new slot — this will be communicated at the clinic
  • The advance payment will not be forfeited for genuine late arrivals where the clinic has been informed in advance

If you are running late, please WhatsApp us as early as possible so we can advise whether your slot can be accommodated.

6. Why Appointments Matter — What You Get From a Booked Slot

Dedicated clinical time

Each appointment allocates sufficient time for Dr. Ashima Madan to properly assess your skin, review your history, and design a personalised treatment plan — not a rushed consultation.

Prepared resources

The clinical team prepares the necessary equipment, products, and procedure setup before your arrival — ensuring your session runs efficiently and safely from the moment you arrive.

Priority over walk-ins

Appointment holders are seen before walk-in patients. During busy periods, walk-in availability cannot be guaranteed — booked patients are always prioritised.

Continuity of care

For patients undergoing a treatment course, scheduled appointments allow Dr. Ashima Madan to review progress from the previous session and adjust the plan before the next procedure begins.

Safety and preparation

Pre-procedure preparation — consent review, contraindication check, anaesthetic application timing — requires knowing you are coming. Walk-in patients may not be able to receive certain procedures on the same day.

Respectful scheduling for all patients

A missed appointment or last-minute cancellation removes access from another patient who may have been waiting for that slot. Honouring your appointment time is a courtesy to the entire patient community at Skinssence.

7. Follow-Up Appointments

For patients undergoing a treatment course — MNRF, chemical peels, laser toning, PRP, GFC, or any other multi-session protocol — follow-up appointments should be booked before leaving the clinic after each session. This ensures:

  • Your next session is scheduled at the correct clinical interval (typically 4–6 weeks for most procedures)
  • Your preferred time slot is secured before the schedule fills
  • The clinical team can prepare appropriately for your specific protocol at the next visit

Walk-in requests for follow-up procedure sessions cannot always be accommodated on the same day — please book in advance.

8. Refunds

  • Advance payments are non-refundable in cases of no-show or cancellation with less than 4 hours notice, as described in Section 4 above
  • Where Skinssence cancels an appointment for any reason, the full advance payment will be refunded within a reasonable timeframe via the original payment method, or carried forward to a rescheduled slot at your preference
  • Advance payments are not refundable after the consultation has taken place — they form part of the consultation fee
  • Refund requests arising from any other circumstance will be assessed individually and fairly by the clinic management

9. Emergency and Urgent Consultations

Patients experiencing an acute skin reaction, post-procedure concern, or urgent dermatological issue are asked to contact us immediately via phone or WhatsApp at +91 9509197578. We will make every effort to accommodate urgent cases at the earliest available opportunity, regardless of the standard appointment schedule.

10. Changes to This Policy

Skinssence Laser & Skincare Clinic reserves the right to update this Appointment and Cancellation Policy at any time. Changes will be reflected on this page with an updated effective date. Continued use of our booking system after any change constitutes acceptance of the revised policy.
